Small Business Payroll

Payroll is something that all small businesses must deal with, because it is important to the overall functioning of your company. It means that your employees are going to get paid, and that all of the right amounts of money will be recorded and sent to the right place for taxes, and for bank account purposes. However, it is a lot of work – and often it is a burden for those doing it. Payroll is something that really has no direct contribution to the way that the business works, yet it is something that is vital to the success of the business.

Employers usually have two different options when it comes to how to process payroll – either to do it in house, or to outsource it to a payroll service. Both of the options are used for many reasons. Some employers prefer to do the payroll in house, as it would be less of an expense. However, this can slow down company growth, and can add to frustrations and work for the owners. There are several things to consider if you are planning on doing your payroll work in house.

First of all, you will need to make sure that your personnel is trained to process the payroll, or that you yourself are trained to take over this duty. The training should include all of the various ways that payroll should be done, which numbers should be recorded where, and how the checks and other things will be distributed. Often, it becomes necessary to hire someone simply to do payroll, especially if it is a large business with many employees.  The people who are doing payroll will often need to ignore other business tasks that they could be doing, in favor of doing the payroll. This might mean that an employee is not able to complete his or her other assigned duties, as they are busy doing payroll themselves. Also, it is important for an employer to remember that they must be responsible for costs that are related to the software and other computer equipment that they will need to have in order to do payroll correctly. These costs can add up, and when payroll regulations change, you will need to get new equipment and software to take care of it. Lastly, employers who are doing payroll in house will need to make sure that they are able to keep up with the payroll tax laws, and the other laws that govern which employees should be paid which amounts of money. These laws can get frustrating, and can change often.

If you outsource your payroll, you’ll have several advantages. First of all, you will have the benefit of accuracy – meaning that the payroll company will insurance all of the payroll computations, and will make sure that they are accurate for you for each payday. It is also convenient, and you can usually get the information in many ways, like faxing, phoning, or emailing.  Also, a payroll outsourcing company is confidential, which means that you won’t have to have your other employees looking at information regarding their work associates and their confidential information. Using a payroll outsourcing company also allows you to get the benefits that only that type of company can bring to you – like direct deposit, and retirement plan savings.  Also, you can have the benefit of being able to spend your time focusing on the business itself, while the payroll company focuses on the payroll.

Payroll is something that needs to be done for you to have a successful company. It can be time consuming and frustrating, but in the end, it is something that is vital. Therefore, you have two choices. You can either train your employees to do payroll, or spend time doing it yourself – or you can hire a payroll outsourcing company to do it for you.
